Minutes 1st Mar 2011

Steve opened the AGM.

Previous minutes were accepted.

Accounts

Nicole presented the financial accounts to Feb 2011 balance $976.05 but it was unclear what the Financial Year is for BAMBA. Marco has since checked the rules of BAMBA and they say the AGM should be held in Sep so the Financial Year end should be 31st August.  Nicole will please change the Financial Statements to please read ending 31st Aug 2010 and send to Matt Clarke with receipts and he will ask Tony Gambitsis to audit them.

Memorandum of Understanding between BAMBA and GWRC

Jeremy has started preparing the draft and will send to Marco when done.  He wants a 5year plan to be formulated so that he can input into the 3 year LTCCP plans on our behalf.  BAMBA will provide their input to the MOU including track signage with BAMBA logo, track maintenance, new tracks incorporating Otonga, rebuild of top of Big Weta and bottom of Bob’s track, Big Weta exit and top of Last Sun.

Steve produced a letter from Erik to himself and Marco requesting all trail work in Otonga to cease.  Marco said we will add this area to the MOU and try to incorporate it into the MTB trail network.  Erik said it may not be designated as a ride-able area but will be investigated.

Jeremy wanted to ensure we are looking after existing tracks before we consider new tracks.  Tyrone said he often prunes Danzig and our trails in the forest are in good order and we are in a position
to expand.

Erik said the Belmont Recreation Reserve has a Park Management Plan that we must adhere to as well as the Owner Occupiers Act with roles and responsibilities and H&S and environmental impacts all to consider.

Tyrone said is there any GWRC budget for new trails such as a Family friendly loop.  Jeremy said no, but there is a budget to look after existing trails.

On Sunday 20th March at 9am Jeremy, Tyrone, Craig, Matt, Ian, (Marco will be at ScreamingO) etc will meet at the road end and go for a walk to explore new track potential and corrections/maintenance of existing tracks.

General Business

Steve said Marco and I have been to 2 FOBRP meetings to strengthen our relationship with them, and they have welcomed us.

Tyrone is concerned that the naked man would offend BRP visitors.  Nicole has a photo of him starkers.  Erik said try to get a rego number from his vehicle and he will trace.

Erik said the Dress Circle was planned to be downgraded from “Awesomeness 4 to 3” by the Kennett’s.  Should GWRC upgrade it?  Marco said stock and gates were problems for MTB riders.  Ian said we need rideable cattle-stops like the trail over Mt Kaukau has.  Matt C said what we do must not negatively impact other BRP users.  Jeremy said the PCC were going to upgrade the entrance to BRP from Warspite Ave.

Erik and Jeremy then left.

Committee discussed what we would put into the MOU. Ian said it was our contract with GWRC.  We have to formulate a 5year plan.  Nicole to design track signs that show grading.  We need large maps at entrances.  We should have a track maintenance day twice per day.

Matt A said Danzig should be modified to make it more sustainable and BAMBA should try and offload the work to HVMTB Club.

Craig wants to build a Pump Track at the bottom of Middle Ridge.

Ian will print A3 maps and get to us for Mar 20th walk.

After the walk we will call a meeting if required to prepare the MOU.

Steve said we are going to be charged $60 per month for our domain name www.bamba.org.nz unless we can sell to 8 businesses at $200 pa each advertising space. BAMBA would get half this income and the domain provider would get the other half.  We will not be able to do this and may need to move our website.  We were unsure if this was www.allteams.co.nz or www.freeparking.co.nz but Steve
will handle.  Steve will load us to Facebook and Sigurd supported this move and said it will raise our awareness.
