Minutes 18th Feb 2010

Location: The Woolshed, Stratton St, Normandale, Lower Hutt.  7:30pm

Steve opened the  meeting.

Previous minutes were not brought to the meeting, but from memory, everyone accepted them.  Mark to ensure they are not forgotten in future.

General Business

PNP have paid Shane McGrath and Horokiwi Quarries just under $500 for the gravel delivered. 5 cu m at bottom and 5 cu m at top of Danzig.  Marco has contacted Corrections Dept to ask for labour to help spread it on Danzig but had no reply yet.  Tyrone will ask Tim O’Connor if his 4WD truck can cart some down the 4WD track half way to the green shed, and some to the green shed.

Tyrone will ask Ross McLachlan how our website is going.  We also want an email address of info@bamba.org.nz

Tyrone will visit Hutt Bike Shops and see if they are willing to allow BAMBA members to have a standard discount.  Members names could be listed on our website so the shop could check validity.

Tyrone would like to hold a BAMBA Club day-more thought required.

Nicole is going to email the BAMBA logo to us all.

Nicole has almost finished opening the Bank Account.  BNZ chosen and 2 of 3 signatories are required to sign our cheques.  President/Treasurer/Secretary are signatories.

WRC are holding their open day on 28th Feb from Hill Rd.  None of the Ctte can attend so Marco is going to give some flyers to Janie Cook to hand out.

Marco showed our official letter of incorporation No. 2383072.

Ian asked what are WRC plans for BRP.  Marco replied that BAMBA had put in a submission to the draft plan and we will be involved in the next round as well.

The Committee agreed to copy Chief Ranger Chris Wootton and WRC Marketing Manager Amanda Cox our minutes so that they can follow our progress and plans.  It was noted that we must seek approval from WRC for any major works and work closely with them.

Matt said BAMBA needs money for tools and volunteer food.  We have tools from Ground Effect $1,000 grant last year, but have lost some.  Tyrone says Mitre 10 sell a good shovel designed for trail building for $15.

Matt said a new Ranger has not started yet.  Chris may like to advise us of the situation please.  Will a new one be appointed soon?

Marco advised that the last working bee cleared pine needles off the track, dug out roots and pruned Danzig nearly half way up to the Green Hut, ready for the
gravel coverage.

Marco advised that Wainui Trail Park was kicked off with $250,000 over the first 2 years plus $30,000pa from HCC and we could approach WRC if cash required.  HCC refund WTP for morning tea receipts.  Nicole said we have $750 income from the last PNP race and have spent about $150, $100 being incorporation fee and balance food for workers.

Tyrone, Nicole, Matt and Ian are going to work on mapping a Long Term Track Plan.  Matt said we need to show a favourable cost/benefit ratio to WRC for any new tracks and while we can supply volunteer labour, there will be costs.

Ian asked if we should affiliate with MTBNZ.  Marco said it costs about $200 and there is no advantage to do this, although it’s mandatory if we ever run a National Race.  PNP are affiliated so races run here by PNP have $5m public liability and fire insurance cover.

Marco has contacted BikeNZ to ask about Nature Valley trail signage which they are sponsoring, and the Ctte chose 3 signs to order which are free.  Because BAMBA are not affiliated we are unsure if we will get them free, but Marco will order anyway.  If they arrive we will contact WRC about installation.

The next meeting will be advised by email when required.  Matt suggested not Thurs night but we voted Thursday night was OK.

Meeting closed 9pm

Marco couldn’t lock the door in the rain, so he advised WRC next morning and they confirmed it was faulty and would fix it.
