Refreshments approved last mtg- $(22.35)

This meeting opening balance- $902.53

This meeting refreshments approved and cheque signed – $0

We owe IRD $73.71 for tax on our race income.  Nicole is seeking an exemption.

Chartitable Status

Matt has sent the  revisions to our Constitution to Paul May lawyer, written by Colin Ryder, to allow us to become a Charitable Society.  We should aim to approve this at the AGM in one month.

Website

It was agreed that Nicole would refund Angus $45.94 for 1 year subscription to Freeparking for our website www.bamba.org.nz.

BNZ Volunteer Digging

It was approved that Angus could ask BNZ workers to volunteer 1 day of their time digging on our new trail on 8th or 9th Sep. We noted Angus has the skills to guide them but we must ensure enough is
taped clearly.

New Track

Paul has opened out the bottom 2 corners on our new track.

Names suggested were Hootenany, Bull Run, Sweet Haven, Sweet Fury and Sweet Gravity.  Bull Run seemed most popular (a huge bull likes our new track and is destroying the surface), but we are open to votes or other names.

Tyrone moved that the new track will be 2 way until it meets Sweetacres, then the DH will be one way Grade 4 to Hill Rd.
Chicken lines are to be built to bypass any extreme sections.  Seconded by Nicole & approved.

Paul found our man-hours board on the ground so it will be moved further up out of sight.  Jeremy said it’s important that trail workers write down their hours on the board so we can work out how many man hours it takes per metre of trail constructed.

Jeremy will fix the bottom fence which has had its wires cut.  Please advise if you know who cut it.  It is designed to keep out MTB riders until the trail is ride-able and keep the bull in.

There was much discussion on the route that the track should take.  Ian’s email was tabled.  It was agreed that any forward taping of the route is to be done without cutting any bush and the taped route be agreed with Tyrone and Jeremy.  Once agreed, cutting and digging can begin on that taped section only.

The next working Bee is Sunday 4th Sep from 9am at the Woolshed.

DANZIG FELLING

Paul read an email from Sharon Lee GWRC to BAMBA which advised that no felling decisions have been made yet.  If felled, natives were a replanting option.

Jeremy advised that log prices had fallen through the floor, the wharf was full of logs and the forest of 21 hectares was nearly 30 years old.  GWRC was waiting on the Production Plan from the feller before they could make any further decisions.

Tyrone said we will do minimal trail maintenance in the forest, but enough to be ready for the PNP race on 30th Oct.  Marco will apply to GWRC to stage the event.

MOU

Matt said we wanted a flexible document with no rigid commitments. Jeremy will extract information from Hoz’ MOU and paste it into the GWRC MOU template.  When done, he will send it to Amanda Cox for review, then to BAMBA. Colin gave us the Friends of Baring/GWRC MOU as an example of one that was signed off by GWRC.

It was agreed to send Hoz a $60 voucher with a thank you note for his work on the MOU.  Matt moved and Tyrone seconded.

General Business

It was agreed that we obtain a first aid pack for working bees.  Matt & Nicole will investigate.

Tyrone said that all future media correspondence had to go through the Committee for approval.

Next Meeting

The next meeting will be the AGM held on Tues 20th Sep 2011 at the Woolshed

Meeting closed 9:15pm

Marco Renall, Secretary BAMBA

Minutes 24th May 2011

Location: The Woolshed, Stratton St, Normandale, Lower Hutt.  7:30pm

Present

Tyrone McGrath, Marco Renall, Matt Clarke, Craig McGinnity, Nicole Swain, Ryan Williamson, Steve Elden.  From 8:30pm Jeremy Paterson and Chris Cosslett

Apologies

None received.

Minutes of last Meeting

They were accepted as a true and accurate record.

Finances

Matt had received advice from Gambitsis Auditors that at each meeting Nicole must advise us of all receipts and payments since the last meeting and the closing account balance.  We reimbursed Nicole for meeting refreshments of $24 which was approved.

Track Development

Tryone reported that we were sticking to the Track Plans and the bottom of Big Weta was now re-routed through the fence.
Jeremy is delivering 5 tons of gravel and the next working bee this Sun 29th May at 9am will shift it up using a power barrow organized by Tyrone from Hirepool.

Nicole is designing the track signage on A3 corflut with track name at top, Grade from 1 to 6, BAMBA logo and a green stripe.  Jeremy has stakes available to use.

Nicole will also install signage asking for volunteer help with trail building and the working bee dates.

General Business

Tyrone, and later Jeremy, reported that the MOU between BAMBA and GWRC was almost complete.

Regarding website development, Steve reported that the AllTeams website which was free, now wanted $800pa so we are not proceeding with that.  We are paying $49.95 + GST per annum to have www.bamba.org.nz domain registered with Freeparking and we approved the current invoice.  We could use Sportsground or Google to host our domain.  Another option is for Steve to
contact GWRC to see if they can add a page to their website for BAMBA and help us get it up and running.  Steve has BAMBA on facebook but not released to public yet.

Matt reported that his visit with our annual accounts to Gambitsis auditors had raised many issues.

  • We answered his queries about some of the income and expenditure details.
  • In the constitution Page 3 clause K we must change “Employees” to “Sub contractors” at the next AGM to avoid Kiwisaver, PAYE, ACC etc.
  • Every meeting must have a Treasurer’s report We must supply a register of members to Gambitsis (Marco will do)
  • 12 is the minimum number required at an AGM, 5 at an Executive Ctte Mtg
  • Our balance date is 31st Aug
  • We must become a Charatable Organisation (Marco to do)

Survey of Volunteer Groups

Before the meeting Marco was contacted by Chris Cosslett who has been engaged by GWRC to survey Volunteer Groups on their involvement in BRP with GWRC.  Chris sent Marco a questionnaire which he sent to the members so they could prepare for Chris’ arrival at 8:30pm.  The Ctte discussed their response to the questions before 8:30pm.  Jeremy and Chris arrived at 8:30pm. Chris introduced himself and said he was seeking answers to “How are partnerships between community groups progressing with GWRC.  Are there any shortfalls and how could relationships be improved”.  The answers are attached.

Meeting closed 10:15pm

Marco Renall, Secretary BAMBA

Minutes 22nd Mar 2011

Location: The Woolshed, Stratton St, Normandale, Lower Hutt.  7:30pm

Present

Tyrone McGrath, Marco Renall, Matt Clarke, Craig McGinnity, Ian O’Donoghue, Ryan Williamson.

Apologies

Steve Elden, Ash Sparks.

Finances

Nicole had adjusted the BAMBA accounts for closing off on our Year End date of 31 Aug.  Matt will pass to accountant Jason Gambitsis for review.

Marco passed the “IR9 Income Tax Return for Clubs and Societies” to Craig for Nicole to complete.  It includes a phone number for help if required by Nicole.

Track Development

On the previous Sunday, Jeremy Paterson GWRC had explored the Danzig forest with Tyrone, Matt, Craig, Ian, Ryan?

Tyrone reported that Jeremy was very obliging and keen for us to undertake new track development but firstly we had to be sure we were maintaining existing trails.  Tyrone said we were up to date.

Jeremy wants the part of Danzig Track near the bottom that crosses the 4WD road blocked off so that riders stay west or east of the 4WD without crossing it.  Our 5 year plan below addresses
this.  Danzig should be made uphill only, so we need to build another easy descending track.

After some discussion we agreed on the following track development plans in this order of priority

  1. Bottom of Last Sun DH should continue to the bottom instead of merging with Big Weta.  It will come thru the fence at the bottom so that the dangerous intersection at the bottom will be made safer.  Working Bee Sun 9am 17th Apr.
  2. Tidy up Big Weta Bypass
  3. Choppers needs a new entry at the top and the design must change to improve the flow.  On the top half extend corners to the east and build berms and drops.  Long straights that go into sharp corners must be avoided because they lead to braking ruts.  Ian thought we could make Choppers 25% longer.
  4. New track from the Danzig hairpin before it crosses the 4WD near the bottom, climbing to the Green Shed staying on the left of the 4WD.  Ian said we must not make it steep so maximum length will be required.
  5. New family track from the Woolshed on the south side down thru the bush following the creek to the bottom of Middle Ridge, then climbing to the right and then an anticlockwise loop towards the Belmont Trig climb and back the the bottom of Middle Ridge.  The return leg to the Woolshed exists so this creates a Family Loop.
  6. New DH track called Ruru from Old Coach Rd down the west side of Danzig to join into The Slide near the Green Shed.  It currently partly exists.
  7. Pump Track to be built near the bottom of Middle Ridge.  Material is expected to be free.
  8. New link track from the Hill Rd car park across the farm to Old Coach Rd.  It is about 2km long and would need to be a GWRC project.
  9. New track from bottom of Big Weta up to Danzig.  Tyrone said this would be very difficult to build.

General Business

Craig will discuss the litter issue with Jeff Henry just off Big Weta.

Working Bees scheduled every 2 weeks after the first one on 17th Apr.

We will officially review track development progress with the Ranger every 6 months.

We will be available to help in BRP at other working bees such as tree planting etc with FOBRP.

Craig listed our temporary signage requirements in the Danzig Forest and the Grading.  Nicole will print track names, grade and BAMBA logo on corflut and advise cost.  We need stakes to install them.

MOU and next meeting

Could Jeremy please include the 9 items above in the MOU and circulate the document before our next meeting on 3rd May 7:30pm.

Meeting closed 9:00pm

Previous minutes were accepted.

Election of Officers

Steve offered to stand down as President and Tyrone was elected.

Others elected

Vice President Craig McGinnity

Treasurer Nicole Swain

Secretary Marco Renall

Webmaster Steve Elden

Committee Ryan Williamson and Matt Clarke

Accounts

Nicole presented the financial accounts to Feb 2011 balance $976.05 but it was unclear what the Financial Year is for BAMBA. Marco has since checked the rules of BAMBA and they say the AGM should be held in Sep so the Financial Year end should be 31st August.  Nicole will please change the Financial Statements to please read ending 31st Aug 2010 and send to Matt Clarke with receipts and he will ask Tony Gambitsis to audit them.

Memorandum of Understanding between BAMBA and GWRC

Jeremy has started preparing the draft and will send to Marco when done.  He wants a 5year plan to be formulated so that he can input into the 3 year LTCCP plans on our behalf.  BAMBA will provide their input to the MOU including track signage with BAMBA logo, track maintenance, new tracks incorporating Otonga, rebuild of top of Big Weta and bottom of Bob’s track, Big Weta exit and top of Last Sun.

Steve produced a letter from Erik to himself and Marco requesting all trail work in Otonga to cease.  Marco said we will add this area to the MOU and try to incorporate it into the MTB trail network.  Erik said it may not be designated as a ride-able area but will be investigated.

Jeremy wanted to ensure we are looking after existing tracks before we consider new tracks.  Tyrone said he often prunes Danzig and our trails in the forest are in good order and we are in a position
to expand.

Erik said the Belmont Recreation Reserve has a Park Management Plan that we must adhere to as well as the Owner Occupiers Act with roles and responsibilities and H&S and environmental impacts all to consider.

Tyrone said is there any GWRC budget for new trails such as a Family friendly loop.  Jeremy said no, but there is a budget to look after existing trails.

On Sunday 20th March at 9am Jeremy, Tyrone, Craig, Matt, Ian, (Marco will be at ScreamingO) etc will meet at the road end and go for a walk to explore new track potential and corrections/maintenance of existing tracks.

General Business

Steve said Marco and I have been to 2 FOBRP meetings to strengthen our relationship with them, and they have welcomed us.

Tyrone is concerned that the naked man would offend BRP visitors.  Nicole has a photo of him starkers.  Erik said try to get a rego number from his vehicle and he will trace.

Erik said the Dress Circle was planned to be downgraded from “Awesomeness 4 to 3” by the Kennett’s.  Should GWRC upgrade it?  Marco said stock and gates were problems for MTB riders.  Ian said we need rideable cattle-stops like the trail over Mt Kaukau has.  Matt C said what we do must not negatively impact other BRP users.  Jeremy said the PCC were going to upgrade the entrance to BRP from Warspite Ave.

Erik and Jeremy then left.

Committee discussed what we would put into the MOU. Ian said it was our contract with GWRC.  We have to formulate a 5year plan.  Nicole to design track signs that show grading.  We need large maps at entrances.  We should have a track maintenance day twice per day.

Matt A said Danzig should be modified to make it more sustainable and BAMBA should try and offload the work to HVMTB Club.

Craig wants to build a Pump Track at the bottom of Middle Ridge.

Ian will print A3 maps and get to us for Mar 20th walk.

After the walk we will call a meeting if required to prepare the MOU.

Steve said we are going to be charged $60 per month for our domain name www.bamba.org.nz unless we can sell to 8 businesses at $200 pa each advertising space. BAMBA would get half this income and the domain provider would get the other half.  We will not be able to do this and may need to move our website.  We were unsure if this was www.allteams.co.nz or www.freeparking.co.nz but Steve
will handle.  Steve will load us to Facebook and Sigurd supported this move and said it will raise our awareness.

Meeting closed 9:30pm

Marco Renall, Secretary BAMBA

Minutes 9th Nov 2010

Location:  The Woolshed, Stratton St, Normandale, Lower Hutt.  7:30pm

Present

Marco  Renall, Tyrone McGrath, Matt Clarke, Craig McGinnity, Nicole Swain, Ian  O’Donoghue, Jeremy Paterson-GWRC, Gordon Macdonald, Dirk Naish, Ryan  Williamson, Ash Sparks, Andrew Duncan.

Apologies

Steve  Elden, Neil Hickford, Chris Wootton.

Marco  opened the meeting.

Previous  minutes were accepted.

General Business

Marco  has contacted Corrections Dept and Community Services to ask for free labour  and given up.  They need MOB coverage  which is the main issue.  A cell site  tower has been planned for Honey Suckle Gr so Marco rang 2 degrees and they  said it’s only under review.

With  the PNP Rd 4 race coming up it was agreed by emails to pay Don MacLeod (Makara  Peak track builder) $250 for 12.5 hrs gravel spreading.  Marco has mailed the BAMBA cheque.  PNP will pay the balance of $250 to Don.  Don rang Marco Tues night to say he had done  the allocated 25hrs @ $20 p/hr.

BAMBA  will hold a working bee to try and finish the spreading with some of it going  down Big Weta.  Working bee will be 9am  Sun 21st Nov meet at Woolshed with wheelbarrows.  Tyrone has found the BAMBA hidden tools in  the forest that Ground Effect paid for.  Craig said the gravelling won’t hold on descents but Ash & Tyrone both own a compactor if required.  Jeremy said we may have to build dips in the flatter sections of Danzig for drainage.  Craig said we should redirect the track near the bottom of Big Weta.

Marco  handed over a cheque from PNP for $640  =  128 riders @ $5 per rider from the bicycle.co.nz PNP MTB Series.

Marco  said we paid $101 to buy the domain www.bamba.org.nz  which has an annual fee through a domain name seller??.  Later he found a free web builder at www.allteams.co.nz so he cancelled the
paid one and has loaded our basic info thru allteams.  Screen shots were passed around.  There is more info he can load soon. Tyrone  has seen a man wearing nothing but tramping boots at the bottom of Belmont Trig track.  Jeremy said call Police and him if spotted again.  There are children  around.

Jeremy  will work on a track signage plan with BAMBA and GWRC.  There is a code of conduct to meet and our  MTBNZ signs will be installed at the same time. Nicole can make signage if required.

It was agreed that beer and chippies could be bought by Nicole for meetings.  Nicole was reimbursed $25-30 for tonight.

Marco gave Jeremy a copy of an MOU between PNP Cycling Club and WCC, to help GWRC draw up an MOU with BAMBA.  It will outline what both parties expect from each other including a 2-5 year
development plan and merge it in to the LTCCP (Long Term Council Community Plan).  The old possum bait trails in Otonga are being slowly maintained by Marco up to a rideable standard and will
be included.  Access from Otonga to Belmont is difficult and steep and will be reviewed.  One track is out of bounds for MTB.  BAMBA must refer to our trails as Dual Use to get buy in from other parties.

Andrew has plans for a trail from the Hill Rd car park to Old Coach Rd.

Jeremy would like to reroute the trail across Sweetacres to avoid a steep pinch.  GWRC have a budget for trail work but if BAMBA supply volunteers the money will go much further.  Only Jeremy can use power tools in BRP and will assist if asked.

Ian said WCC have spent $50 per metre on contractors to build trails, compared to volunteers who built North Face at Makara Peak for $2 per metre.

Craig wants to build a Pump Track about the size of a small building.  It would be a great asset to BRP and dirt supply should be free.  Jeremy and Craig will discuss a location and plans.

Jeremy advised that the exit of Big Weta is dangerous for other BRP users.  He will look at turning the corner left before the gate and exit over a small cattle-stop like WCC have used on Skyline.

Craig wants to run a downhill race and will use Mike the Hippy from Wgtn MTB Club to help.  Jeremy said he can apply online for concession.  Marco can help with paperwork if required because he has done it for XC racing.  Choppers corners need bigger berms for DH riders.  Ric Balfour is an expert trail builder if we need advice.  He just ran a course in Wgtn.

Marco asked if the Danzig forest will ever be harvested.  Jeremy said it is safe for at least 5 years.  If it is highly utilized and has an extensive trail network then we are more likely to be able to keep it
protected during any logging.

Matt, Jeremy and Ian all worked on a map discussing new track potential.  Jeremy wants us to draw up a 1-5 year plan of future track works.

Meeting closed 9:10pm

Marco Renall, Secretary BAMBA

Minutes 8th Apr 2010

Location: The Woolshed, Stratton St, Normandale, Lower Hutt.  7:30pm

Present

Steve Elden, Marco Renall, Tyrone McGrath, Ian O’Donoghue, Chris Wootton-GWRC, Ross Jackson-GWRC.

Apologies

Matt Clarke

Steve opened the meeting.

Previous minutes accepted.

General Business

BAMBA now have a cheque book with signatories Steve, Marco & Nicole.

Marco was reimbursed $143.50 for Incorporation and working bee morning teas.

Marco has contacted Corrections Dept to ask for labour to help spread the gravel onto Danzig.  They can supply prisoners but need radio contact.  Marco will test PNP radios to see if they will work.  Tyrone will ask Tim O’Connor if his 4WD truck can cart the gravel up and down the 4WD track half way to 5 points that have been marked with stakes by Tyrone and Marco.  Chris said “Go ahead” and ask Grant, his driver.  GWRC will pay for this.  Chris advised that he wanted prisoners rather than PD labour, because prisoners perform better.  Marco will confirm with Corrections.

Working Bee Sunday 25th April 10am at the top of Danzig.  We will rake off pine needles before the gravel is spread.

Tyrone to get a price for shovels at Mitre 10 and Bamba supply cheque or ask Ground Effect.  Marco advised Ground Effect has already given us $1,000 for tools but a few have gone missing.  Matt has the wheelbarrow, Marco has 3 mattocks and Hoz has buried some tools in Danzig forest that we can’t locate.  Craig has some tools too.

Marco showed the 3 Nature Valley sponsored “MTB Code of Conduct” signs and Chris said he would look at installing them but wanted Regional Park consistency.  Ian explained that they were being installed nationwide in MTB Parks.  We need to add them to large track map signs at Park entrances.  We didn’t fully resolve this issue and will await comments from Chris.

We asked that the “MTB Code of Conduct” be added to GWRC brochures.  Ross rand me yesterday and said Simon Kennett already had done this.

Tyrone advised that we need trail signage that names the trails, advises direction, shared or MTB only, and length & difficulty.  He will get a map from Ross and mark it up with help from Steve.

Chris advised that any “change in service levels” needed to go through GWRC for their signoff.  This refers to changing a walking track to an MTB track, or any new tracks planned.

Ian advised that 12 volunteers had signed up to “Adopt a Trail” in Wellington.  We should look to volunteers on a similar basis.  Marco was happy to adopt Choppers.

Ross advised that the public expectations of trails were rising and that good surfaces were expected on multiuse trails.  We therefore need to keep Danzig smooth and graveled because it is multiuse, but other MTB only trails could be rough.

Tyrone advised that no progress had been made with our website so Marco offered to ask Simon Gwyn at BikeNZ to help us.  Simon has agreed to be our webman, big thanks. Simon is the PNP MTB webman.  Yesterday Marco paid $101 to buy the domain www.bamba.org.nz and included up to 5 email addresses. One created is info@bamba.org.nz This is an annual fee.  Simon will create
a Home page and pages for Contacts, Minutes, Calendar, Events, Membership, etc.  He needs our logo from Nicole please.

Marco advised our IRD number is 104-263-585.

Ross advised that the Network Management Plan draft is due out at the end of May for Public Consultation and we will submit.  There are 6-7 user groups in Belmont Regional Park and we need to communicate together.  Steve will send a brief about BAMBA to Janie Cook Ph 565 1297, 246 Park Rd, Belmont for the Friends of Belmont newsletter and get us added.  We should keep membership free to maximize numbers.

Chris advised BRP office is Ph 586 6614 and 2 degress were installing a cell site tower above Maungaraki water tower, Honeysuckle Gr, which should cover the bottom of Stratton St.

Meeting closed 9pm

Minutes 18th Feb 2010

Location: The Woolshed, Stratton St, Normandale, Lower Hutt.  7:30pm

Present

Steve Elden, Marco Renall, Nicole Swain, Tyrone McGrath, Matt Clarke, Ian O’Donoghue.

Apologies

Bruce McCardle, Neil Hickford, Ross McLachlan and Ryan Williamson

Steve opened the  meeting.

Previous minutes were not brought to the meeting, but from memory, everyone accepted them.  Mark to ensure they are not forgotten in future.

General Business

PNP have paid Shane McGrath and Horokiwi Quarries just under $500 for the gravel delivered. 5 cu m at bottom and 5 cu m at top of Danzig.  Marco has contacted Corrections Dept to ask for labour to help spread it on Danzig but had no reply yet.  Tyrone will ask Tim O’Connor if his 4WD truck can cart some down the 4WD track half way to the green shed, and some to the green shed.

Tyrone will ask Ross McLachlan how our website is going.  We also want an email address of info@bamba.org.nz

Tyrone will visit Hutt Bike Shops and see if they are willing to allow BAMBA members to have a standard discount.  Members names could be listed on our website so the shop could check validity.

Tyrone would like to hold a BAMBA Club day-more thought required.

Nicole is going to email the BAMBA logo to us all.

Nicole has almost finished opening the Bank Account.  BNZ chosen and 2 of 3 signatories are required to sign our cheques.  President/Treasurer/Secretary are signatories.

WRC are holding their open day on 28th Feb from Hill Rd.  None of the Ctte can attend so Marco is going to give some flyers to Janie Cook to hand out.

Marco showed our official letter of incorporation No. 2383072.

Ian asked what are WRC plans for BRP.  Marco replied that BAMBA had put in a submission to the draft plan and we will be involved in the next round as well.

The Committee agreed to copy Chief Ranger Chris Wootton and WRC Marketing Manager Amanda Cox our minutes so that they can follow our progress and plans.  It was noted that we must seek approval from WRC for any major works and work closely with them.

Matt said BAMBA needs money for tools and volunteer food.  We have tools from Ground Effect $1,000 grant last year, but have lost some.  Tyrone says Mitre 10 sell a good shovel designed for trail building for $15.

Matt said a new Ranger has not started yet.  Chris may like to advise us of the situation please.  Will a new one be appointed soon?

Marco advised that the last working bee cleared pine needles off the track, dug out roots and pruned Danzig nearly half way up to the Green Hut, ready for the
gravel coverage.

Marco advised that Wainui Trail Park was kicked off with $250,000 over the first 2 years plus $30,000pa from HCC and we could approach WRC if cash required.  HCC refund WTP for morning tea receipts.  Nicole said we have $750 income from the last PNP race and have spent about $150, $100 being incorporation fee and balance food for workers.

Tyrone, Nicole, Matt and Ian are going to work on mapping a Long Term Track Plan.  Matt said we need to show a favourable cost/benefit ratio to WRC for any new tracks and while we can supply volunteer labour, there will be costs.

Ian asked if we should affiliate with MTBNZ.  Marco said it costs about $200 and there is no advantage to do this, although it’s mandatory if we ever run a National Race.  PNP are affiliated so races run here by PNP have $5m public liability and fire insurance cover.

Marco has contacted BikeNZ to ask about Nature Valley trail signage which they are sponsoring, and the Ctte chose 3 signs to order which are free.  Because BAMBA are not affiliated we are unsure if we will get them free, but Marco will order anyway.  If they arrive we will contact WRC about installation.

The next meeting will be advised by email when required.  Matt suggested not Thurs night but we voted Thursday night was OK.

Meeting closed 9pm

Marco couldn’t lock the door in the rain, so he advised WRC next morning and they confirmed it was faulty and would fix it.

Glynn Moss resigned as VP and Tyrone will stand in as acting VP.

Tyrone will ask Ross McLachlan how our website is going.

Nicole will ask Paul May how our Incorporation is going because she needs to fill in the IR596 IRD form and open a Bank Account at KiwiBank.  Marco said the Incorporation is almost complete according to Paul.

Steve has set up BAMBA in facebook in the mean time.

Tyrone wants a meeting every 2 months near end of the month.  Seconded Craig.  Next meeting is Thursday 18th Feb.

Nicole showed us the logos and one was chosen.  Nicole will ask Paul how we go about making an official stamp – BAMBA seal.  Nicole will email the logo for Marco to use as a letter head.

Steve reported that Marco & him went to FOBRP mtg last week.  We were well received.  Many of them are mountain bikers.  Track signage was discussed as well as track sharing.  Danzig 2 way MTB & walkers.

Marco said he had done maintenance on Choppers and Big Weta lately (pruning, dug out grooves & hard slippy top inch on the worst descents).  The Big Weta drop just below the bridge can now
be missed by going left on a new track built by Hoz & Tyrone which still needs some work. Tyrone will axe thru 3 roots that were too big for puny Marco.

Marco will contact BikeNZ to ask about Nature Valley signage which they are sponsoring.

Tyrone will get 2 x 5cu m loads of lime stabilized gravel delivered. 1 at top Danzig & 1 at Woolshed.  Craig will meet the driver this Saturday.  $212 x 2 + $100 for Tyrone’s deliveries.  PNP will pay
when Marco gets the invoice.  Marco wants to get PNP’s contribution from 2008 squared away before they forget.  The 2009 contribution of $750 is yet to be banked because Bank Account not yet opened.

GWRC open day 28th Feb.  BAMBA will have a presence and we will tidy up Danzig on Sunday 14th Feb with a Working Bee to ensure it is as easy as possible to ride.

Jason Barclay will put pink markers in bush in 1 month’s time to define a new grade 2 track in Danzig forest.  We must keep close to GWRC with our track work.

Marco read out what he wrote in the Review of Regional Parks Management Plans document, and Ctte added some more.  It has been sent in by the deadline today and it ensures BAMBA will be involved in the consultation process.

Paul May had written up the Rules of BAMBA and these were tabled and discussed.  It was agreed that they could be signed off by the attendees, and 23 did this.  Marco will return the signatures to Paul May.  Any changes could be discussed at the 2010 AGM.

Comments from the floor

Tom: We should focus on Health & Fitness.

Tyrone: We should build easy trails suitable for families & children.

Matt: Has represented Mountain Biking interests at Friends of the Town Belt meetings and expressed some dissatisfaction with their relationship with Mountain Bikers.

Neil: We should build a strong relationship with WRC.  The growing numbers of MTB users in the park needed to be advised to WRC.

Jono: Ensure tracks are dual use

Marco: Nature Valley are sponsoring nationwide trail signage at MTB Parks and we should take up their offer. Flexible white vertical signs that take custom printed stickers for Grade, Length and Track Name.

??: Let’s make membership to BAMBA free, so that we get plenty on board.

??: Do we need to sign a Memorandum of Understanding with WRC to build and maintain trails?

??: We should have an Open Day and sausage sizzle soon.  Include track building and a ride.  Put it in Hutt News.

Tyrone: Will organize with Jason Barclay to dump gravel at the top of Danzig and we will have a working bee on Sat 10th Oct to spread.

Marco: PNP will pay from last year’s race proceeds.

Marco: Round 4 of PFC PNP MTB Series is on Nov 1st and $5 per rider will be donated to BAMBA.

Nicole: Will design a sticker for BAMBA and open a Bank Account and organize cheque signatories.
